JOB PURPOSE

The core purpose of the role is the responsibility for all operations of the warehouse, including picking, packing, stock control, administration, and supervising operations.

MAIN RESPONSIBILITIES

  • Warehouse Control
    • Control receiving, picking, packing and distribution processes effectively.
    • Control day-to-day operations of the warehouse to achieve Departmental objectives and targets.
    • Ensure that Company vehicles are checked and maintained.
    • Ensure that all active stock takes have been finalized and closed by COB daily.
    • Assist with the scrapping process as required.
    • Assist in the warehouse as may be required by the needs of the company.
  • Distribution Control
    • Control logistics function, ensuring all orders are dispatched timeously, including:
      • Manage freight forwarders and ensure timeous collection from couriers.
        • Loading of Freight Forwarders Waybills.
        • Pre alerting the Freight Forwarders controllers, and the necessary staff, of what waybills are leaving.
        • Assisting with the tracing of waybills for Freight Forwarders.
      • Collect outworks from suppliers as required.
    • Control dispatch quality, delivery times, transport costs and efficiency.
      • Ensure all picking slips are attended to timeously.
      • Prepare goods for dispatch.
      • Monitor, count & inspect the dispatching of goods to ensure orders are dispatched accurately.
      • Loading / offloading of vehicles.
  • Ensure dispatch accuracy as per picking slip, on time and in full.
    • Execute the most efficient and accurate loading and dispatching of all orders, as per picking slips.
  • Ensure IBTR’s (Inter-Branch Transfers) are completed as per company procedures.
    • Ensure adequate staffing requirements.
  • Ensure all stock being dispatched is wrapped and compliant to wrapping SOP.

Receiving Control

  • Ensure all deliveries are received, checked, and confirmed correctly and timeously.
    • Receiving all stock delivered from a supplier or a return from a customer.
    • Ensure stock received via containers are correct and meets company quality standards.
    • Ensure that the stock colours match company standards.
  • Monitor, count & inspect the unloading of goods into the receiving department on delivery day.
  • Check and verify shipping records, manage queries on shipping shortages or surplus timeously.
  • Ensure documented quality checks is completed on each shipment and review accordingly.
    • Ensure all packaging meets company standards and comply with Quality plans.
    • Ensure all boxes are correctly labelled.
    • Report any quality deviations to the Warehouse Supervisor.
  • Report all damaged stock/incomplete transfers to the Warehouse Supervisor immediately upon discovery thereof.
  • Ensuring that all stock is correctly and neatly located, binned, and always displayed.
    • Ensure stock is binned timeously.
  • Ensure bins are tidy, always have bin numbers and stock labels

Administration

  • Always ensure effective warehouse administration:
    • PODs submitted to Admin timeously.
    • All dispatch and receiving paperwork are completed accurately.
    • Monitoring and submitting wrapping machine hours to COO.
    • Ensuring that Forklift drivers keep the forklift hours register up-to-date.
  • Control packaging material and box stock to always ensure sufficient stock levels.
    • Ordering of packaging material for the branch.
  • Determine packaging requirements for the Distribution Centre.
  • Communicate labour requirements to Line Manager in advance, to ensure planning for stringent dispatch requirements.

SHEQ Integrated Management System control

  • Ensure adherence to the OHS Act.
    • Take reasonable care for the health and safety of themselves of other persons.
    • Co-operate with the employer to enable prescribed duties or requirements to be complied with.
    • Carry out any lawful order given and obey the health and safety rules and procedures.
    • Report any unsafe or unhealthy situation to the employer.
    • Report any incident to the employer.
    • Comply with health and safety plans
  • Ensure the warehouse maintains and complies with standards of health and safety, and hygiene always.
    • Ensure general maintenance of site and arrange suppliers as required.
    • Ensure the warehouse always maintains standards of housekeeping.
  • Responsible to comply with the SHEQ Integrated Management System (SHEQ-IMS) and the maintenance thereof.
  • Compliance with SHEQ-IMS will be monitored during personal reviews.

KEY JOB REQUIREMENTS

QUALIFICATIONS

  • Grade 12.

EXPERIENCE

  • 1 years’ experience in a similar position.
  • 3-4 years’ experience in an operations / warehousing environment.

KNOWLEDGE REQUIREMENTS

  • A thorough practical knowledge of best practices in Operations processes.
  • Awareness and understanding of the ISO 9001, ISO 45001, ISO 50001, ISO 14001 Requirements relevant to the processes under your control

SKILLS REQUIREMENTS

  • Computer literacy with Proficiency in MS Excel at a basic level.
  • Proficient in SAGE Evolution, or similar, at an intermediate level.
  • Excellent communication skills both verbal & written.
  • Able to work punctual and be persistent.
  • Excellent organizing skills.
  • Excellent attention to detail.
  • Deadline driven with a sense of urgency.

ADDITIONAL REQUIREMENTS
